The Problem

A growing clinic group in Berlin was managing patient appointments, medical history, and billing across 14 locations using a combination of spreadsheets and a decade-old practice management system. Staff were spending 3–4 hours per day on data entry and phone-based appointment booking.

What We Built

Two interconnected systems: a patient-facing portal and an internal clinic CRM. Patients can book appointments, access their medical history, receive appointment reminders, and securely communicate with their care team. Clinic staff manage schedules, patient records, referrals, and billing from a single dashboard.

Compliance

All data is stored and processed in compliance with GDPR and the German Healthcare Data Protection Act (KHZG). Patient data is encrypted at rest and in transit, with granular consent management built into every patient interaction.

Integration

The system integrates with KV Berlin for electronic health card reading, the DATEV accounting platform for automated invoicing, and DocuSign for digital consent forms.

Impact

Administrative overhead dropped by 55%. Patient no-show rates fell by 30% after implementing automated SMS and email reminders. Digital appointment bookings now account for 78% of all bookings.
